POSITION DESCRIPTION
DEPARTMENT TITLE: Program Manager
REPORTS TO: Executive Director
SUPERVISES: Welcome Center staff
FSLA STATUS: Non - Exempt
PURPOSE OF POSITION:
Responsible for the overall operations of the Harrison County Historical Village and Iowa Welcome Center, including gift shop, personnel, and various programs. Performs a wide variety of professional and administrative duties related to the operations of the department. Coordinates reports, documents, financial procedures, and daily communications with the public and various organizations and groups.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
· Works directly with Executive Director in all aspects of department policies.
· Attention to detail; Effectively interact with the public, peers, and co-workers.
· Frequently composes routine correspondence without instruction or review; interprets administrative decisions and policies.
· Performs a variety of office administrative tasks: keeping budget data, purchasing data, maintaining office files, and compiling a variety of reports.
· Supervises employees and volunteers; Recruits, trains, schedules, assigns, and evaluates work performed.
· Maintains gift shop; Makes purchases and assign pricing; Performs sales transactions.
· Maintains museum collection: inventory, proper display, interpretation; Accession and deaccession of artifacts.
· Answers telephone; Receives, opens, and corresponds mail; Greets the public and provides answers.
· Process fees collected by the department; Accurately counts and records money received; Prepares deposits.
· Monitors office supplies and make purchases when needed;
· Plans, coordinates, and promotes facility events; Cooperates with local and state tourism groups and civic organizations.
· Plan, coordinate, and direct the Farmer’s market, both summer and winter events
· Schedules visits; Plans educational programs; Maintains department social media site; Monitors department website and updates information on various other websites.
· Examines, checks, and verifies statistical and other reports for completeness, adequacy, and accuracy. Determines whether reports or documents meet established requirements and communicate/advise with the Executive Director.
· Keeps records of all licenses and permits required by department.
· Attends regional and statewide meetings.
QUALIFICATIONS:
· Education and Experience: Associate’s Degree + two (2) years of related experience OR four (4) years of related work experience with an emphasis of work experience in tourism, museum, history, business or related fields.
· Must be willing to work weekends, holidays, irregular or special event hours.
· An equivalent combination, experience/training which provides the required knowledge, skills, and abilities.
USEFUL CERTIFICATIONS AND TRAINING:
· Demonstrated computer knowledge required – word processing, spreadsheet proficiency, and use of Microsoft Office, website/social media proficiency, and other programs is preferred.
· Iowa Driver’s License
· First Aid/CPR certification
Or Able to Obtain within One (1) Year of Offer of Employment
MINUMUM PHYSICAL & MENTAL ABILITIES REQUIRED TO PERFORM ESSENTIAL DUTIES/FUNCTIONS:
· Administrative duties require the use of personal computers and programs – Microsoft Office; Office Communications systems (email, phone, voicemail, text); Ability to use basic math; Accounting practices; Ability to interact with a variety of people in a variety of circumstances; Multi-tasking; Work involves numerous interruptions.
· Field duties are required outside the office setting. Work in a variety of indoor and outdoor settings, including flora bed arrangement, interpretation, and a variety of cleaning duties. Ability to perform a wide variety of physical tasks in a variety of weather types; Ability to lift and carry 50 pounds. Ability to sit, stand, or walk for extended periods of time.
Will be subject to pre-employment background check, driving record, physical and drug screening.
