GENERAL DESCRIPTION

Part Time Administrative Assistant with the Buena Vista County Conservation Board who performs a wide variety of professional and administrative duties related to the day-to-day operations of the department                                    

 

DUTIES

1.     Complete and maintain accounting and office-related reports of county budgets and prepare related financial reports

2.     Maintain and prepare board meeting reports, payroll, expense reports, audit and file claims and bank deposits

3.     Assist with writing grants

4.     Assist staff with marketing initiatives including website updates and advertising

5.     Audit petty cash fund

6.     Maintain an accurate equipment inventory

7.     Answer the telephone and provide visitors with a friendly personality and prompt assistance

8.     Take and record reservations, registrations, rentals, collect camper and visitor fees

9.     Attend Department Head meetings when Director is not available.

10.   Clean and maintain park facility's including but not limited to; clean and unlock shelter houses, restrooms, and rental cabins; clean grills/fire rings, sweep sidewalks, pick-up trash, mow, rake, paint,

11.   Assist Naturalist with programs and projects when needed.

 

KNOWLEDGE, SKILLS, AND ABILITIES

KNOWLEDGE

            1.        Clerical - Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology.

            2.        English Language - Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.

            3.        Customer and Personal Service - Knowledge of principles and processes for providing customer and personal services- this includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction

            4.        Computers and Electronics - Knowledge of in operation of computerized records systems including word processing and database systems, copiers, calculators

            5.        Administration and Management - Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, production methods, and coordination of people and resources.

            6.        State and Local Laws- Knowledge of basic State and Local laws and rules and regulations

            1.        Active Listening - Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.

            2.        Reading Comprehension - Understanding written sentences and paragraphs in work related documents.

            5.        Writing - Communicating effectively in writing as appropriate for the needs of the audience; Ability to compose letters, records, meeting minutes, news releases, and grants

 

ABILITIES

            1.        Written Comprehension - The ability to read and understand information and ideas presented in writing.

            2.        Oral Comprehension - The ability to listen to and understand information and ideas presented through spoken words and sentences.

            3.        Mathematic Comprehension- must have the ability to utilize mathematical formulas; add and subtract; multiply and divide; determine  percentages;  and  interpret  same  as  appropriate

            4.        Oral Expression - The ability to communicate information and ideas in speaking so others will understand

            5.        Speech Recognition - The ability to identify and understand the speech of another person

            6.        Written Expression - The ability to communicate information and ideas in writing so others will understand; Ability to prepare news releases, fliers, and other basic publicity

            7.        Relationship Building- Ability to establish and maintain effective working relationships with groups, organizations, the general public and colleagues

            8.        Problem Solving- The ability to identify a problem and resolve the issue with the best solution 

 

MINIMUM EDUCATION, TRAINING, AND EXPERIENCE

          1.        Must be at least 18 years of age

          2.        Have a valid Driver's License

          3.        High School graduate or equivalent

          4.        Training in office administration

          5.        Have 1 to 2 years of general office experience required

          6.        Any equivalent combination of education and experience that provides the required skills, knowledge and abilities

 

WORK ENVIRONMENT/PHYSICAL DEMANDS SUMMARY

    1.        The incumbent works in a building office environment and outside in a park and recreation area. 

    2.        The employee may encounter frequent interruptions throughout the workday.

    3.        The employee is regularly required to sit, talk, listen and hear, frequently required to use repetitive hand motion, stand, walk, reach, or bend to obtain various files, etc. 

    4.        The incumbent will regularly operate a variety of automated office machines and equipment, including, but not limited to: computer (Excel and Word programs), copier, and telephone. 

    5.        The Conservation Administrative Assistant is required to work outside and has exposure to all types of weather. 

    6.        Lifting up to 50 pounds is required. 

    7.        Has exposure to paint, cleaning chemicals and other chemicals.

Compensation/Benefits:  Starting wage- $15.50/hr., standard 32 hours per week. Uniform shirts provided. Partial single health insurance paid by County, IPERS Retirement.
