Summary Description
Performs intermediate skilled administrative support work as a mid-high level administrative support person for the department, takes and responds to customer or staff inquiries, prepares and maintains confidential files, correspondence and/or records, balances and reconciles monies received, issues permits, applications and department forms, and related work as apparent or assigned. Work is performed under the limited supervision of the department director or Financial Data Manager.

Job Duties/Responsibilities
Receives and responds to telephone, email, and direct walk in inquiries from staff or the public; responds directly to inquiries or directs to the appropriate staff member.
Develops and maintains electronic and paper files, records and reports related to department business; performs data entry and database management related to department operations.
Maintains and updates department specific website or web-based forms.
Receives, sorts and prepares incoming and outgoing mail.
Processes invoices, paperwork, applications or claims on behalf of staff.
Takes or transcribes meeting minutes.
Prepares various written correspondence, letters, mailings, brochures or presentations for staff; proofreads various written materials.
Assists with maintaining adequate office supplies and materials; monitors and reports maintenance related requests.
Assists with maintaining a clean office environment.
May maintain staff calendars and assist with scheduling appointments.
May assist with creating and organizing confidential related files for the department and staff.
May balance and reconcile monies received; may assist with department budget monitoring responsibilities, filing claims and/or payroll.
May issue applications for services supplied by or through the county.

Knowledge, Skills and Abilities
General knowledge of standard office practices, procedures, equipment and office assistance techniques; thorough knowledge of business English and spelling; general knowledge of arithmetic; some knowledge of county and department programs and policies; thorough knowledge of the use of a multi-line telephone system; ability to read and understand basic local and state policies and procedures of limited scope and difficulty; ability to type accurately at a reasonable rate of speed; ability to operate standard office and computer equipment and perform word processing and/or data entry; ability to operate standard office software systems; ability to establish and maintain effective working relationships with staff and the general public.

Education and Experience
Bachelor's degree and moderate experience in a similar role, or equivalent combination of education and experience.
Preferred Qualifications: Familiarity and proficiency with MS Office suite including Microsoft Excel and website experience.
