Environmental Learning Center (ELC)
Responsibility Agreement
You are reserving the Environmental Learning Center multi-purpose room from Mahaska County Conservation Board at Caldwell Park. All County and State Laws are enforced. Contact the Conservation Office at the above location, by phone or email if you have questions concerning rules, policies or special requests. Reservations are made online with the ability to book up to 6 months in advance. Please note that an additional $4 fee will be applied at checkout.

Room Information
The space is about 68’ x 44’
140 - plastic folding chairs
22 - plastic 6’ rectangle folding tables
Max Occupancy is 150 people
Features/Amenities
Renter will have access to the following: Tables, chairs, restrooms, drinking fountains, kitchen with full size stove, fridge, dishwasher, microwave, and Media room with sound system or projector with screen. Limited kitchen utensils. (Renter is responsible for bringing cooking and eating utensils.)
Deposit
A $500 damage deposit is required to reserve the Environmental Learning Center Community Room. This deposit must be mailed to the above address within two weeks of the date you make the reservation. To receive your deposit back, all rental rules and guidelines must be followed. This includes cleaning the facility as outlined, removing all trash, avoiding damage, and exiting by the agreed-upon time. Failure to clean up the facility properly or to comply with park rules or state laws may result in verbal warnings and possible removal from park grounds by Park Staff. Furthermore, Mahaska County Conservation Board may take any legal action necessary to recover damages to county property, and your deposit may be partially or fully withheld.
Renter agrees to assume full responsibility for the acts, negligence or omissions or members of the
above listed group and their guests while using the Environmental Learning Center meeting room.
I, undersigned, have read, and agree to all the conditions of the attached Mahaska County
Conservation Board Meeting Room Policy for The Environmental Learning Center.
Rules for use
1. The person responsible must be at least (21) years of age and present at the event.
2. Use of Property – Rental of the site includes the use of the community room, kitchenette and restrooms. No events may take place or are allowed to be set up on the lawn area unless approved by MCCB.
3. Food trucks or grills must be in the parking lot. Not on the sidewalk or under the upper deck.
4. Alcohol of any kind is not allowed in or around the building.
5. Tobacco vaping and smoking are prohibited inside any portion of the building. (Must smoke 25 feet from the building)
6. No pets of any kind are allowed inside the Nature Center apart from service animals. (Must provide proper documentation.)
7. No nails, staples, glue, wall tack, command strips or pins may be used on any part of the building inside or out. ONLY painter’s tape is allowed for attaching decorations or table covers.
8. No open flames.
9. No rice, confetti, birdseed, potpourri, glitter or any substance of that nature. Rose or other flower petals may only be used for decorating purposes on tables only and must be cleaned up entirely at the end of the event.
10. Use of the building is not permitted after 10:00 p.m. unless pre-authorized by the Director or his/her authorized representative.
11. All catering companies must use self-contained warmers with hot boxes or have the ability prepare and cook meals within self-contained kitchen/trailers.
12. All catering companies are allowed for the event only. They are not allowed to sell/serve anyone not directly attending the event.
13. Vendors/Renters may use sinks to dispose of water-based organic liquids and food juices only (no oils and solid food). There are no garbage disposals.
14. No selling. No garage sales, markets, etc. unless pre-authorized by the Director or his/her authorized representative.
15. Use of outdoor structures such as bounce houses, inflatable attractions, canopies, tents, or other temporary installations is not permitted unless approved by MCCB director prior to event.
16. Indoor games that involve throwing, running, or other high-impact activities (e.g., bean bag toss, dodgeball, or similar games) are not allowed inside the facility.
Cleaning policy
Renters must leave the premises in as good or better condition than they were found.
All cleaning supplies will be provided by Mahaska County Conservation. Cleaning supplies are located in
the media room.
Cleaning list
1. Wipe down tables and chairs with microfiber
rag.
2. Clean kitchen counters with microfiber
rag.
3. Wipe down the fridge surfaces.
4. Wipe off stove.
5. Clean coffee pots, water heating pot etc.
6. Sweep the floor with dry mop and dustpan.
7. Mop floor with blue pads and spray bottles. ONLY use water on floors.
8. Sweep restrooms and return them to the original condition.
9. Take trash out to dumpster.
10. Wash all dishes, silverware, pots, pans and put them away.
11. Clean microwave.
Building doors
Renter is responsible for unlocking and relocking the basement door. Key fob is located next to door via lock box. Enter the 4-digit code you created when you made the reservation. Note the elevator and door to steps will be locked outside of business hours as entry at that time is not permitted. Return key fob at the end of rental by placing it back inside the lock box.
Cancellations
Notify the Park Office of all cancellations. If you need to cancel a reservation, you will lose 100% of all reservation fees paid. If you contact the Park Office 7 days before your reservation, you are allowed to change a reservation date (limited to twice) to a later date that works best.
Refund Policy
All reservations with the Mahaska County Conservation Board facilities are final. Reservations are non-refundable unless the following situations occur:
1. The National Weather Service has issued severe winter weather conditions and advised against travel.
2. We are unable to provide the facility in operable condition for the date of your event.
